Approved EC NOTES of the Committee Meeting

ISBN Numbers on CDs : This matter was discussed once again at length. There is no legal requirement at the moment for ISBN numbers to be on any publication in this country. It was agreed to continue with ISBN numbers on books but to leave CDs until it is compulsory.

Spring Fair 2007 : The agreed date in March has been changed to Saturday 28th April to avoid a possible clash of events with Sheffield FH Society.

Telephone numbers in PRC : A researcher had been contacted by telephone with an invitation to a talk in the town centre not connected with the Society. The number had been obtained from the signing-in book at the PRC. This was against data protection. The phone number column has been removed. Membership numbers and telephone numbers will be kept on a database in a sealed envelope in the locked cupboard for emergencies.

Update of Policies and Procedures : The following items were updated and agreed.

Sale of Publications : The Society's own publications are no longer available for sale at the PRC. There is a limited range of commercial books for sale.

Subscriptions and new members : Subscriptions are now taken at the PRC with immediate effect and without the £2 research fee. Temporary card period increased to 21 days to allow Membership Secretary to process the application and issue a membership card and starter pack.

Portable Appliance Test : All electrical equipment used in the PRC must have a current PAT certificate. Researchers are able to use their own laptop for personal research but must run on its internal batteries unless they can prove the equipment has a valid PAT certificate.

Accidents in the PRC : If any accidents occur in the PRC they must be recorded in the Accident Book.

These items were all agreed by the EC.

Projects - New CD : The Parish School (St. George) admission registers 1907-1943, log books and diaries 1867-1943 + potted history of the school which opened in 1816 have been put on CD. The school no longer exists. There are over 800 filmed pages on the CD. The price was agreed at £7.50 for Genfair and £7 postal sales. Members to be asked if they have any photographs of school buildings - there are problems of copyright with class photographs.

AOB : The question of marrying up Hyde Park Cemetery grave numbers at the PRC with the Plot Number was raised. The grave number is the headstone and the number the Society gave them. It could be done if anyone wants to take this on.
